Overview:

Highland Group includes 8-10 businesses and is primarily a telecommunications-focused enterprise with additional sectors including philanthropy.

We are seeking a proactive, organized, and technologically proficient Executive Administrator to support the day-to-day administrative operations. This position plays a key role in keeping our office running smoothly and efficiently, while also providing support to the accounting, legal, and leadership teams.

The role is perfect for someone who thrives in a structured office environment, enjoys a variety of administrative responsibilities, and is comfortable using technology and learning new systems. Offered as a 32-hour/week, 4-day schedule, this role supports work-life balance while offering meaningful, hands-on contributions to the business.

Key Responsibilities:

Office Administration

  • Organize and maintain both paper and electronic filing systems
  • Manage incoming and outgoing mail, ensuring accurate routing and documentation
  • Maintain office supply inventory and coordinate orders as needed
  • Perform general data entry and document preparation tasks
  • Assist with vendor file maintenance and documentation
  • Support general office functions
  • Serve as a resource for office staff by providing administrative assistance
  • Help coordinate office logistics and internal communications

Light Accounting Department Support 

  • Perform data entry and reconciliation tasks
  • Assist with invoice tracking and accounts payable support
  • Provide ad hoc administrative support to the accounting team

Qualifications:

  • Previous experience in an office administration or executive assistant role preferred
  • Previous experience in accounting preferred
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Office Suite
  • Comfortable using computers, office software, and digital file management systems
  • Willingness to learn new tools, systems, and processes
  • Professional, dependable, and detail-oriented
  • Able to work independently and manage multiple responsibilities
