The West Virginia Community Development Hub

The West Virginia Community Development Hub (The Hub) is seeking a Finance & Administration Associate to support the work of The Hub’s Chief Financial Officer and Operations Director as part of the organization’s core Operations and Finance Team. 

This position will support The Hub’s Operations and Finance Team in effectively managing day-to-day operations of the organization behind the scenes, through financial operations and other administrative tasks. 

The ideal candidate will be detail-oriented, thorough, proactive, and an excellent communicator. They will also share in The Hub’s vision and optimism for West Virginia’s future. This is an excellent opportunity for a recent business administration or accounting graduate, or a more experienced professional who is interested in supporting a deeply impactful, mission-driven team working on community-driven development in West Virginia.

Who We Are 

The Hub is a nonprofit organization that works directly with dozens of community-based teams located across West Virginia. Our community coaches walk alongside residents as they create and carry out a shared vision for positive changes in their area. The results may be anything from creating a community garden or putting on a festival to repurposing a vacant, historic building or building out a plan to transform a community. 

With more than a decade of experience, The Hub has a unique approach to community-based coaching that includes centering residents as subject matter experts on what is best for their area; breaking down historic barriers to collaboration and unifying people from different backgrounds; and championing new, and many times historically underrepresented, community leaders.

What You’ll Do 

The Finance & Administration Associate is a part of our Operations and Finance Team and will report to the Chief Financial Officer. 

You will be responsible for the following: 

  • Finance Operations
    • Support the Chief Financial Officer in essential financial tasks that ensure compliance and fiscal responsibility within the organization, including maintaining organizational credit cards and maintaining records of The Hub’s bank accounts
    • Manage cash receipts and generate inbound invoices for Accounts Receivable and Accounts Payable
    • Create reports that demonstrate The Hub’s financial position
    • Collaborate with the Internal Organizational team to support annual audit processes
  • Administrative Support
    • Coordinate travel for The Hub’s team so that they may be able to successfully complete their work in communities across the state
    • Support the Operations Director in maintaining The Hub’s three offices across West Virginia, and manage the supply stock for the organization
    • Collaborate with the Operations Director in streamlining the technology management of the organization, including software and hardware.
    • Maintain standard operating procedures to ensure smooth operations across the organization
    • Aid in other special projects with support from the Operations Director, such as support for large scale events.

You’re skilled at making clear requests and excellent at listening and understanding complex requests. You value proactive communication, but you are also flexible to be a responsive communicator. 
  2. Organization: You love knowing where things are and ensuring you have all of your ducks in a row, and you are skilled at providing that support back to others. You have built your own systems for organization before or improved upon existing systems. Organized files make your heart sing. 
  3. Project Management: You feel comfortable managing a variety of timelines to accomplish projects or tasks. You are a self-starter who is comfortable at proactively asking for what you need to accomplish something or to help others accomplish something. 
  4. Setting and Managing Priorities: You have experience managing competing demands of your time, and are able to build your own systems to keep tasks from slipping through the cracks. You are a self-starter and are driven to complete work independently within a supportive team environment. 

While it’s not required to be successful in this role, we also encourage you to apply if you have experience with any or all of the following: 

  • Sage Intaact or similar bookkeeping softwares 
  • Monday.com or similar project management softwares 
  • Building systems and procedures 
  • Coordinating travel and/or meeting scheduling 

If you were here right now, you would be: 

  • Supporting our Chief Financial Officer as our organization adopts a new accounting software to ensure that all of our other financial systems are operating smoothly
  • Managing requests for inbound and outbound invoices during a busy grant reporting period 
  • Coordinating travel for a busy team spread across West Virginia to ensure that our on-the-ground work is going off without a hitch 
  • Collaborating with our Operations Director to implement and maintain Standard Operating Procedures that allow our organization to continue to thrive and grow. 

What Else You Should Know 

The salary for this position will be negotiated with the applicant and will be based on qualifications and experience. The expected starting salary will be between $40,000 – 50,000. 

The Hub provides generous benefits for full-time employees. These benefits include high-quality health insurance for employees that costs between $45-$50/month, 100% employer-paid vision and dental benefits, at least 4 weeks of PTO with the opportunity for more to recognize years of service and 12 holidays. This position is full-time and required to be in-person at least 3 days a week. Because of the nature of this work, the applicant must be based in the Charleston, West Virginia area. However, the role may be hybrid. 

Willingness to travel and work flexible hours is required for this position. Occasional travel is expected for this position. Events may happen during evenings or weekends but are scheduled in advance so that staff may coordinate their schedules accordingly. The Hub offers a flex-time policy to accommodate work completed outside a typical workday. All travel expenses are reimbursable and travel may often be done in coordination with other Hub staff.
