Title: Program Coordinator, Stewards Individual Placements – two openings

Reports to: Program Manager

Starting Salary: $47,700 to $49,131

The annual starting salary range for this position will be in the $47,700 to $49,131 range, depending on experience, education, and relevant skills. Please note that the indicated starting salary range describes the range for an incumbent in this position. Most new staff generally start at the beginning of the range percentile to ensure internal salary equity.

Location: Beckley, WV – hybrid remote option after 90 days

Status: Full-Time, Non-Exempt

The Corps programs within the organization engage participants in diverse conservation and community projects that serve public and private lands.   These projects provide opportunities for personal and professional development and strive toward a high priority of needs for public land managers and community partners. Program Summary:

Stewards Individual Placements, East (STE), a program of Conservation Legacy, places individual placements across the nation in projects that build capacity, improve access to natural resources, develop and support innovative solutions, develop opportunities for service and economic development, and empower leaders. The Stewards program is supported by two main National Service programs: AmeriCorps VISTA and AmeriCorps State and National. Stewards Members work with multiple partners to create highly impactful national service projects that fulfill our mission.

Position Summary: 

The Program Coordinator implements and supports initiatives within the Stewards Program. Our national service programming supports programming centered around poverty alleviation, public land management, workforce development, and preservation.  This position coordinates program initiatives by interacting with steward management, newly enrolled members, and site supervisors. The Program Coordinator ensures all assigned positions are successfully recruited and oriented to the program before their term starts. The Program Coordinator also provides the members with program policy and procedures and support during the term of service and will fully exit members from the program.  The individual assigned to this position will have a portfolio that includes AmeriCorps State and National members, VISTAs (Volunteers In Service To America) and employee participants.  A Program Coordinator is responsible for 50 or more member /project sites.

Essential Responsibilities and Functions:

General Administration

  • Provides high-level customer service to potential applicants, current participants, partnering services, and internal staff.
  • Will recruit members for their assigned portfolios.  This includes implementing our Diversity, Equity, and Justice (DEIAJ) goals, screening applicants, posting and tracking open positions, and supporting interviewing when requested/required.
  • Ensures that details of each member’s orientation, during service and exit documents are accurately achieved by complying with internal checks and balances.
  • Coordinates and implements hiring and exiting systems with Program Directors to ensure all member files are compliant with Federal, State and AmeriCorps requirements and expectations.
  • Assists Stewards leadership with administrative responsibilities, including participant outreach, internal staff communication, and training.
  • Assists with AmeriCorps hour tracking and delivery of bi-weekly member payroll.
  • Tracks and administers member professional development funds.
  • Other administrative duties as assigned.

Member and Partner Support

  • Responsible for the member experience from onboarding to exit. This includes conducting check-in calls, reviewing member reports, and scheduling site visits.  This requires coordinating each member’s orientation and exiting tasks to ensure they are correctly completed within deadlines.
  • Oversees member data tracking through fact oversight and management.
  • Ensures members receive welcome emails and orientations.
  • Processes required employment paperwork upon member start date.
  • Answers member questions, engages with members about their terms, professional development, and other growth opportunities.
  • Assists site supervisors with restorative justice process if needed and is prepared to play a role in conflict mediation, which includes assisting supervisors when a member is not performing OR assisting members when there is a conflict with the supervisor; Assists site supervisors with troubleshooting communication barriers, behavioral issues, or performance issues.
  • Works with site supervisors to assist with details before, during and after member’s terms regarding timesheet approval, programmatic expectations, position details, evaluations, and general timelines.
  • Collaborates with Program Manager to ensure AmeriCorps slots are properly tracked and filled.
  • Documents and processes incidents through Conservation Legacy’s established workers compensation protocols. Supports the member through any Workers Compensation issues.
  • Assists in other member activities, including time sheets, payment disbursement, quantitative and qualitative reports, etc.

Other Duties

  • Regularly reviews and collects member mid-term and final reports.
  • Works with the Program Manager and Program Director to collect, edit and package reports for Conservation Legacy, AmeriCorps, and program partners.
  • Successfully engages, leads, and supports an inclusive work environment for those of underrepresented populations within the organization and the communities we serve.
  • Leads and/or participates in organizational-wide teams, projects and initiatives that support the work of the Strategic Plans goals.

  • Must be able to pass Conservation Legacy’s criminal history check requirements.

Preferred Qualifications:

  • Strong background in Customer Service.
  • Previous experience with a youth development/corps field, AmeriCorps or working with BIPOC communities.
  • Proficient in computer programs, databases, and social media, including the Microsoft Office Suite and Salesforce.
  • Attention to detail and experience inputting large volumes of data.
  • Exhibit a high level of emotional intelligence and interpersonal skills
  • Exhibits the ability to effectively work on diverse teams or with a variety of populations, including those underrepresented at our organization and those of BIPOC communities.
  • Experience with influencing diverse groups of employees to achieve common goals.
  • The ability to communicate effectively, manage complexity cultivate innovation, drive and influence results of oneself and others.
  • Valid Driver’s License and an insurable driving record.
