Amount of Travel Required: Less than 5%  

Positions Supervised: N/A

Work Schedule: Monday-Friday, 8:30am-5:00pm 

Occasional evenings, weekends, and holidays are required.  

POSITION SUMMARY 

In collaboration with the VP of Development, the Fundraising Events & Sponsorship Manager is  responsible for planning and coordinating all aspects of the Clay Center’s fundraising events, as  well as managing the Center’s sponsorship program. This position provides administrative  support for Friends of Clay Center and Corporate Relations Sub-committee.  

ESSENTIAL FUNCTIONS 

Events Management  

  • Plan and coordinate all aspects of fundraising events, as well as donor cultivation,  solicitation, and stewardship events.  
  • Effectively coordinate and communicate with fundraising event committees and  volunteers, including Friends of Clay Center and all Friends of Clay Center committees,  to ensure that event goals are met or exceeded.  
  • Work with VP of Development and Development Manager to create budgets for all  Development events, including fundraising, cultivation, solicitation, and stewardship  events and maintain budget goals.  
  • Carefully track RSVPs for all events. 
  • Facilitate all fundraising event planning meetings, which includes scheduling, tracking  RSVPs, taking minutes, and follow-up communication. 
  • Facilitate all Friends of Clay Center meetings, which includes scheduling, tracking  RSVPs, taking minutes, and follow-up communication.  
  • Cultivate and grow the Friends of Clay Center giving society.  
  • Work with VP of Development, Development Manager, and the Clay Center Marketing  Team to develop marketing strategies and collateral that will promote fundraising events  and Friends of Clay.  
  • Prepare event-related reports including weekly ticket reports, post-event revenue reports  and coordinate with the Finance Team on the preparation of event reconciliations.
  • Coordinate and maintain the Center’s online auction platform and oversee all post-event  auction tasks, including distribution of items, securing payment, and reconciling auction  revenue.  
  • Manage all event-related vendor meetings associated with Development events, prepare  contracts, and monitor execution of contracts. 
  • Attend all fundraising events and manage on-site logistics.
  • Work with Development Associate to record pledges, track pledge payments, enter gifts  received, and acknowledge gifts timely and professionally.

Sponsorship Management  

  • Foster positive relationships with existing sponsors and cultivate new relationships. 
  • Serve as point of contact for all sponsors and communicate regularly.
  • Conduct sponsor prospect research. 
  • Create sponsorship proposals, schedule solicitation meetings, and provide follow-up.
  • Track and distribute sponsor benefits. 
  • Maintain accurate sponsorship files and records.  
  • Facilitate all Corporate Relations Subcommittee meetings, which includes scheduling  meetings, tracking RSVPs, taking minutes, and follow-up communication.
  • Work with VP of Development to create budget for sponsorships and maintain budget  goals.  
  • Work with Development Associate to record pledges, track pledge payments, enter gifts  received, and acknowledge gifts timely and professionally.

SKILLS & ABILITIES  

Education: Bachelor’s Degree (four year college or university) or equivalent experience 

Experience:  

  • Bachelor’s Degree or equivalent work experience preferred  
  • Specialized knowledge in organizing and managing all logistical aspects of meetings  and/or special events; 2+years preferred
  • Professional writing experience preferred 

Computer Skills: 

  • Proficiency in MS Work, Excel, Outlook, PowerPoint, and comfortable leaning new  technology systems
