Office & Events Coordinator
The Huntington Regional Chamber of Commerce is a nonprofit association that promotes a thriving business community in Cabell and Wayne counties by connecting people, places, and resources. To support this mission, the Chamber seeks to: Connect Community, Cultivate Growth, and Catalyze Development.
The Chamber is currently seeking a part-time Office & Events Coordinator. The successful candidate will play an essential role in managing daily office functions and organizing Chamber events, contributing to our mission of promoting business growth and community engagement.
The Coordinator will report directly to the Chamber President & CEO.
Key Responsibilities
Events
- Coordinate, execute, and evaluate monthly and annual events with attendance ranging from 50 to 625 attendees with 1 to 2 evening events per month.
- Create and manage event budgets
- Handle event logistics, including registration, attendee communication, catering, volunteers, and on-site coordination to ensure events run smoothly
- Track event metrics and prepare post-event reports to assess success and identify areas for improvement
- Collaborate with Director of Marketing to promote events through various channels, including social media, email newsletters, and the Chamber website
- Sell tickets, tables, and sponsorships to Chamber events
Office
- Manage day-to-day office operations, including greeting guests, answering phones, responding to emails, updating member information, and handling inquiries from members and the public
- Maintain office supplies and refreshments and ensure the office environment is organized and professional
- Perform errands such as picking up the mail and dropping off bank deposits
- Assist with invoicing, payments, and basic bookkeeping tasks in coordination with the Chamber’s accountant
- Coordinate meetings and take minutes for staff and Board meetings
Other
- Serve as the staff liaison to one of the Chamber’s subcommittees
- Assist with “all hands-on deck” events such as ribbon cuttings, Leadership Huntington, etc.
Preferred Qualifications
- Bachelor’s degree in Business, Communications, Event Management, or a related field — or current enrollment in a relevant bachelor’s degree program
- Previous experience in event planning and/or office administration
- Strong organizational and multitasking skills with an eye for detail
- Excellent written and verbal communication skills
- Positive attitude and professional demeanor with excellent customer service skills
- Capable of working in a fast-paced environment on time-sensitive tasks
- Able to lift 25+ pounds
The Coordinator will work from the Chamber office in River Tower (1108 Third Ave Suite 300 Huntington, WV 25701).
This is a part-time, hourly position (20-25 hours per week) at a rate of $20 per hour. Benefits and insurance are not offered.
